What we collect

Account details you give us (name, email, brokerage, license and MLS ids), through Henosis ID where you sign in that way. The home records you keep: addresses, the owners’ names and contact details, the systems of the house and their service history, your notes, check-ins, needs, and referrals. Vendor details you enter. If you connect Follow Up Boss, the API key you give us, stored encrypted.

What the owners and vendors give us

From the owners’ page (HomeBook): services they log, needs they raise, and ratings they leave. From a vendor’s page: how a referral went, and the name and contact details of anyone they send to the agent. These pages are reached by private links; they are not indexed and have no accounts.

How we use it

To run the service: building the check-in schedule and talking points from the record, sending the emails you ask us to send (as you, with your reply address), syncing to Follow Up Boss when connected, and pulling a walkthrough from Dooryard or a value from SoldNeedle when you ask. We do not sell personal data, and we do not use owners’ or vendors’ details for our own marketing.

Who can see it

The agent who keeps the home, and owners, admins, and assistants on their team. The owners see their own HomeBook: address, systems, service dates, needs, the vendors they were sent, and the agent’s card. They do not see the agent’s notes or talking points, and they see a value only when the agent shares it. A vendor sees only the referrals sent to them. Service providers that host and deliver the product (Railway, SendGrid through Henosis Mail, Henosis ID) process data on our behalf.

How long we keep it

Home records are kept while the account is active and for up to seven years afterward, reflecting typical real estate record-keeping. Owners can ask their agent to remove their record at any time; agents can delete a home from inside the app.

Your choices

You can edit your profile, delete homes, vendors, and referrals, turn off an owner or vendor link, disconnect Follow Up Boss, and close your account from inside the app or by emailing us. Owners and vendors can ask to be forgotten by emailing us or their agent.
